Build your first signature

A guided tour of the designer, from picking a starting layout to saving something people will actually see.

The designer is two columns: settings on the left, a live preview on the right. Nothing you do reaches Outlook until you save, and the preview always shows a real person's details filled in.

Start with a layout

Layout decides the shape of the signature: whether the photo sits beside the details, above them, or is left out altogether. Pick the closest and refine from there.

Reduced motion is on, so the tour waits for you. Use the arrows or the list to move through the steps.

Which signature did I just change?

A signature you edit is shared by everyone it applies to, so a change here reaches all of them. Two consequences are worth knowing:

  • If this is your default signature, everyone without a matching rule sees the change.
  • If a rule points at this signature, only the people that rule matches see it.

The list of signatures tells you how many people each one reaches, so you can see the size of the change before you make it.

Each signature shows how many people it reaches and when it last changed.

Tip: Changing something people rely on? Duplicate the signature first, work on the copy, and swap the default or the rule over when you are happy.
