How it works

Set it up once. It keeps itself right.

Signed sits between your directory and your email. You decide what signatures look like and who gets which, and Signed keeps them up to date.

    Design

    Build a signature in the visual designer or paste your own HTML. Variables like {{job_title}} fill in for each person.

    Assign

    Sync people from Microsoft 365, import a CSV or add them by hand. Rules decide which signature each department, domain or person gets.

    Deploy

    On Microsoft 365, your admin deploys the Outlook add-in once and signatures appear as people write. Other providers use the Signed API.

How we protect your data

  • Sandboxed previews

    Signature previews render in a sandbox, so template code can't touch the portal.

  • Secure sessions

    Sign-ins use secure, httpOnly cookies that scripts on the page can't read.

  • Hashed passwords

    Passwords are hashed before they're stored. We never keep them in plain text.

  • Two-factor for our staff

    Anyone at Signed with internal access has to use two-factor authentication.

  • Payments by Stripe

    Card details go straight to Stripe and never touch our servers.

What is Signed?

Signed is email signature management for your whole organisation, from one place. You design your signatures once, people's details come from your directory, a CSV or the portal, and Signed puts the right signature on every email: through the Outlook add-in on Microsoft 365, or through the Signed API with other email providers.

Which versions of Outlook does it work with?

Outlook on the web, the new Outlook for Windows, classic Outlook for Windows (version 2304 or later) and Outlook for Mac. The add-in adds the signature to new emails, replies and forwards.

Does everyone need to install something?

No. On Microsoft 365, your admin deploys the Outlook add-in once from the Microsoft 365 admin centre, and it appears for the people you choose. With the Signed API, signatures are added as mail leaves your relay or gateway, so there's nothing to install on anyone's computer. Nobody has to copy and paste a signature or change a setting.

Where do people's details come from?

Connect Microsoft 365 and Signed pulls names, job titles, departments, phone numbers and addresses from Entra ID. Google Workspace directory sync is coming soon. You can also import a CSV or edit anyone's details by hand. Company defaults fill in anything that's missing.

Can different teams have different signatures?

Yes. Assignment rules give a signature to a department, an email domain or a named person, and priorities decide which rule wins when more than one applies.

Can I add a marketing banner under our signatures?

Yes. Campaign banners run between a start and end date, for everyone or for one department. When the campaign ends the banner disappears on its own.

What happens when someone leaves?

With Microsoft 365 sync switched on, people whose accounts are removed or disabled in your directory are marked inactive at the next sync and stop getting a signature.

Does Signed work with Gmail, Google Workspace or Apple Mail?

Signed manages signatures whichever email provider you use. The Outlook add-in only runs in Outlook, so with other providers signatures go out through the Signed API: it returns each person's finished signature and can add it to outgoing mail from a relay or gateway you run. Google Workspace directory sync is coming soon. Signed doesn't add signatures inside the Gmail, Apple Mail or phone apps themselves.

How does the free trial work?

Every organisation gets 14 days of Pro, with every feature and no card needed. If the trial ends without a plan, signatures pause and the portal becomes read-only until you choose one. Nothing is deleted.

Can I manage signatures for more than one company?

Yes. One login can look after several organisations and switch between them. It's how agencies and IT providers manage signatures for their clients.
