The Signed add-in puts each person's signature on new emails, replies and forwards in Outlook. Your admin deploys it once, centrally. Nobody else has to install or set up anything.

Change the From address, get the right signature

Plenty of people send from more than one address: a shared inbox, a second brand or an office in another country. When the From address changes, the add-in swaps in the signature that goes with it.

Pair it with assignment rules by email domain and each address gets its own design automatically.

Deployment

Deployed once, by your admin, for everyone

The add-in is deployed centrally through the Microsoft 365 admin centre, so it reaches everyone without a visit to each desk. Here's how it goes.

    Download your organisation's add-in manifest from Settings in the Signed portal.

  2. 2

    In the Microsoft 365 admin centre, go to Integrated apps and upload the manifest.

  3. 3

    Choose who gets it: everyone, particular groups or named people.

  4. 4

    Microsoft rolls it out. It can take a while to appear for everyone, and after that there's nothing more to do.

Which versions of Outlook are supported?

Outlook on the web, the new Outlook for Windows, classic Outlook for Windows (version 2304 or later) and Outlook for Mac.

Does each person need to install the add-in?

No. A Microsoft 365 admin deploys it once from the Microsoft 365 admin centre and chooses who gets it. It then appears in Outlook for those people without them doing anything.

What happens when someone sends from a different address?

When the From address changes, for example to a shared mailbox or a second domain, the add-in swaps in the signature for that address.

Does it work on phones?

Signed adds signatures in Outlook on the web, Windows and Mac. It doesn't add signatures in phone mail apps.

Does it work with Gmail or Apple Mail?

The add-in only runs in Outlook. With Gmail, Google Workspace, Apple Mail and other providers, Signed delivers signatures through its API instead, and Google Workspace directory sync is coming soon.

Do people still need a signature set up in Outlook?

No. It's best to remove old signatures from Outlook's own settings so people don't end up with two. The add-in handles the signature from then on.
