Signed reads the fields that go into signatures.
Names and job titles
Display names, first and last names, and job titles as they appear in your directory.

An owner in Signed clicks Connect and signs in with a Microsoft 365 admin account to give consent.

Run the first sync. People and departments appear in Signed, ready for templates and rules.

Switch on daily sync and changes in Microsoft 365 reach signatures without anyone lifting a finger.
Starters and leavers
New starters signed on day one. Leavers, stopped.
When someone joins, their Microsoft 365 account is all Signed needs. When they leave and their account is switched off, the next sync takes them out of the running.

Permissions
Read-only, and yours to switch off
Admin consent, read-only access. Signed asks for User.Read.All, which lets it read your directory. It can't change users, mailboxes or settings in Microsoft 365.
Disconnect any time. An owner can disconnect Microsoft 365 from the portal whenever they like, and you can remove the consent from your Microsoft Entra admin centre too.

What permissions does Signed need?
Signed asks for admin consent to read your directory (User.Read.All). It reads people's details and doesn't change anything in Microsoft 365.
How often does it sync?
Whenever you run a sync from the portal, and every day if you switch on automatic sync. Microsoft 365 sync, including daily sync, is included on every plan and in the free trial.
What happens when someone leaves?
Only enabled accounts are synced. When someone's account is disabled or removed in Microsoft 365, the next sync marks them inactive in Signed and they stop getting a signature.
Can I change someone's details in Signed?
Yes, you can edit people in the portal. Bear in mind the next sync brings Microsoft 365's values back, so for lasting changes it's best to update the directory itself.
We're not on Microsoft 365 for everything. Can we still use Signed?
Yes. You can import people from a CSV file or add them by hand, and Google Workspace directory sync is coming soon. The Outlook add-in needs Microsoft 365. With other email providers, signatures go out through the Signed API.
Can we disconnect?
Yes. An owner can disconnect Microsoft 365 from the portal at any time, which also switches off automatic sync. You can remove the consent from your Microsoft Entra admin centre too.
