Start with a signature
Everything else depends on there being at least one design. Open Signatures and choose New signature.
Reduced motion is on, so the tour waits for you. Use the arrows or the list to move through the steps.
The checklist
Work down this list. The first four are the minimum; the rest is what turns a basic setup into one people trust.
- Organisation name and logo set in Settings
- Company defaults filled in: company name, website, address
- Legal disclaimer written, or deliberately left blank
- One signature designed and set as the default
- People added, by sync, CSV or by hand
- Departments checked, so rules can target them
- Add-in manifest deployed by your Microsoft 365 admin
- One person's signature checked from end to end
- Someone invited to the team, so it is not all on you
What to watch in the first week
A rollout normally throws up three things, none of them serious:
- A few job titles are wrong. They usually came from the directory, so fix them in Microsoft 365 and the next sync will bring the fix across.
- Someone's photo is missing. People without a photo in your directory show initials instead, which looks deliberate.
- One team wants its own signature. That is one rule, and it takes a minute.
Tip: Turn on the daily Microsoft 365 sync before you finish. It keeps names, job titles and departments right without anyone chasing.
